Terms of Service

Effective date: 10th October 2026

Last updated: 10th October 2026

1. Agreement and operator

These Terms govern use of Veeza’s website, app and related services, operated by Veeza Pty Ltd ABN 53 623 506 856, of shop 1a / 12 Coronation Parade Enfield NSW 2136 (Veeza, we, us or our). Contact us at help@veeza.com.au. By selecting “I agree”, creating an account after being presented with these Terms, or accepting an order that incorporates them, you agree to these Terms. If you accept for an organisation, you confirm you have authority to bind it. The organisation is the customer and its invited users must comply with the provisions relevant to their use.

Your order or checkout identifies your plan, billing cycle, fees and limits. A separately signed agreement prevails to the extent of a conflict. Our Privacy Policy explains personal information handling; it is not blanket consent for every use of information.

2. What Veeza provides

Veeza helps organise business administration, including email and document processing, invoices, quotes, project records, client and vendor details, timesheets, rosters and other features available under your plan. AI features assist with extracting and organising information. Specific functionality and integration availability depend on your selected plan and the permissions granted to connected services.

Veeza provides administrative tools rather than professional legal, accounting, tax, employment or financial advice. You remain responsible for reviewing business records, meeting statutory obligations and deciding whether an output is suitable for your purposes.

3. Accounts and team access

Account holders must be at least 18 and provide accurate registration and billing information. Keep credentials secure, do not share individual logins, and promptly report suspected unauthorised access. You are responsible for authorised users’ activity within your workspace to the extent within your reasonable control. Workspace administrators manage permissions and remove access when it is no longer required.

Staff and contractor access for submitting timesheets, viewing rosters and reading project scopes is free within the permitted role. Inviting a free user does not itself authorise a charge. We will disclose charges and obtain approval before enabling additional paid access.

4. Acceptable use

You must not use Veeza unlawfully; upload content you lack authority to provide; infringe privacy, confidentiality or intellectual property rights; introduce malware; interfere with security or availability; access another customer’s data; send unlawful spam; or bypass plan limits or access controls. Security testing requires our prior written authorisation. Restrictions on copying or reverse engineering apply only to the extent permitted by law.

5. Your content and our licence

You retain your rights in the emails, documents, records and other content you provide or import. You grant us a non-exclusive licence to host, copy, process, transmit and display that content only as reasonably necessary to deliver and secure the service, provide support, and meet legal obligations. We may allow contracted providers to do the same for those purposes, subject to appropriate obligations. This licence does not transfer ownership or independently authorise general-purpose AI model training.

You must have authority and a lawful basis to provide information about staff, contractors, clients, suppliers and other people, and give required notices or obtain required consents. We remain responsible for our own obligations under applicable privacy law.

6. Integrations and email access

Only connect accounts and shared mailboxes you are authorised to access. You control the permissions granted and must check that forwarding and synchronisation settings match your intentions. You can revoke access through the provider and available Veeza controls. Disable forwarding rules separately. Imported content may remain until deleted under our retention process.

Third-party services have their own terms and availability. We do not control their independent operation. We will take reasonable steps to address integration issues within our control and notify affected users of material known issues. Do not assume Veeza will import every message or record successfully; check important records and keep appropriate source copies.

7. AI outputs and automation

AI outputs may contain errors, omissions, duplicates or incorrect classifications. Review extracted amounts, bank details, GST treatment, dates, contacts, project allocations and any generated quotes or invoices before using them. Check schedules and timesheets before payroll or other consequential decisions. Verify payment details independently before paying an invoice.

Where an automation can send a communication or change a record, review its permissions and settings before enabling it. You authorise actions within the settings you choose. Your review responsibilities do not exclude our responsibility for failures to exercise due care and skill or other rights that cannot lawfully be excluded.

8. Subscriptions, billing and trials

Fees, inclusions, usage limits, billing frequency and whether GST is included are shown before purchase. Paid subscriptions renew for the disclosed billing period until cancelled. By subscribing, you authorise the disclosed recurring charges through our payment provider. We do not charge undisclosed overage or additional user fees without prior agreement.

Any trial offer states its duration, limits and whether it converts to a paid plan. Automatic paid conversion requires clear disclosure and your agreement before the trial begins. You can cancel before conversion using online cancellation in the administration page.

If payment fails, we will notify you and normally allow at least 7 days to resolve it before restricting paid access, unless urgent security or legal circumstances require action. Contact us promptly if a charge appears incorrect; we will investigate without limiting any statutory rights.

9. Cancellation and refunds

You may cancel renewal at any time through admin page or by contacting help@veeza.com.au. Cancellation takes effect at the end of the current paid period, and access continues until then unless you request earlier deletion. There is no cancellation penalty. Except where required by law or provided in your order, change-of-mind cancellation does not create a refund for the unused part of a billing period.

This does not limit rights to refunds, cancellation, compensation or other remedies under the Australian Consumer Law. If we permanently discontinue the paid service or terminate your account without your breach, we will refund prepaid fees for the unused service period.

10. Changes to fees, features and Terms

We may make reasonable changes to improve the service, address security risks or comply with law. We give at least 30 days’ notice of material changes to these Terms or changes that materially reduce paid functionality, except urgent legal or security changes, which we explain as soon as practicable. Material changes do not apply retrospectively.

Fee increases apply only at renewal after at least 30 days’ notice. If you do not accept a material adverse change, you may cancel before it takes effect. If such a change takes effect during a prepaid period, you may end the affected service and receive a proportionate refund for the unused period. We will seek express agreement where required by law.

11. Availability, support and records

We use reasonable care and skill to provide Veeza and maintain its availability. Maintenance, outages and third-party failures may interrupt service. We give reasonable notice of planned material interruptions where practicable. Any guaranteed service levels must be set out in a separate written agreement.

Support is available through help@veeza.com.au and will be responded within 24hours. Keep independent copies of records you must retain by law and export important data periodically. Veeza is not the sole archive for your tax, employment or contractual records unless a separate agreement expressly provides otherwise.

12. Suspension and termination

We may restrict access where reasonably necessary to address a serious security risk, unlawful activity, material breach or overdue payment. Restrictions will be proportionate. Where practicable, we give notice, explain the reason and allow a reasonable opportunity to remedy the issue. Immediate action may be necessary to prevent harm or comply with law. Contact support to seek review.

Either party may terminate for a material breach that remains unremedied 14 days after written notice, where capable of remedy. We may end the service for other reasons on at least 30 days’ notice, with a proportionate refund of unused prepaid fees. A suspension does not automatically require deletion of your data.

13. Export and deletion after termination

The account owner has 30 days after the workspace subscription ends to request an export in our available formats. Contact support if interactive access has ended. We then delete workspace data from active systems, subject to lawful retention and reasonably necessary preservation for disputes or security incidents. Backup copies expire within a further 90 days.

We will facilitate an appropriate export even if an account is restricted, where lawful and safe, and explain any limitations. Removing an individual user does not delete the organisation’s records. The Privacy Policy explains retention of personal information. Disconnect any integrations and forwarding rules you no longer want to use.

14. Our intellectual property and confidentiality

We and our licensors retain rights in Veeza’s software, branding and service materials. During your permitted use, we grant you a non-exclusive, non-transferable right to access the service within your plan. You may use outputs for your business purposes to the extent you and we have rights to permit that use; AI outputs may not be unique or eligible for intellectual property protection.

Each party must protect the other’s confidential information using reasonable care and use it only for the purposes of this agreement. Disclosure is permitted to people who need it for those purposes under suitable confidentiality obligations, or where legally required. This obligation excludes information lawfully public, independently developed or lawfully received without restriction, and survives termination while the information remains confidential.

15. Australian Consumer Law and liability

Nothing in these Terms excludes, restricts or modifies any guarantee, right or remedy that cannot lawfully be excluded, including under the Australian Consumer Law. Where applicable, services come with statutory guarantees, and you may be entitled to cancellation, refunds or compensation for failures to meet them.

Subject to those rights, each party is responsible for loss reasonably foreseeable and caused by its breach, negligence or other wrongful act. Liability is reduced to the extent the other party caused or contributed to the loss. Each party must take reasonable steps to mitigate loss. Neither party is liable for loss that was not reasonably foreseeable. These Terms impose no general monetary liability cap and no blanket customer indemnity. Any separately negotiated limitation must be lawful and expressly agreed.

16. Resolving disputes

Contact help@veeza.com.au with details of any dispute. Each party will make reasonable efforts to resolve it promptly and, if useful, consider mediation by agreement. This process does not prevent urgent court action, a complaint to a regulator, or use of a tribunal or other statutory remedy. There is no compulsory private arbitration requirement.

17. General provisions

These Terms are governed by the laws of New South Wales, Australia. Subject to any mandatory rights or jurisdiction rules, the parties submit to the non-exclusive jurisdiction of its courts. If a provision is unenforceable, it is severed only to the extent necessary and the remainder continues. A failure to enforce a provision immediately is not a waiver.

Neither party may transfer this agreement in a way that materially reduces the other party’s rights without consent. We may transfer it as part of a business sale where the successor assumes our obligations and your rights are preserved; we will notify you. Formal notices may be sent to the contact details held for your account and our published support address.
